Library Project Coordinator, Victoria State Office, Melbourne In October 2009 Mission Australia’s Victoria State Office relocated to new premises in Exhibition Street, Melbourne. In the process the team moved from individual offices to an open plan format with access to a shared library where all current print resources would be stored. The objective of this project is to bring the library to a functional standard. At the present time, print resources have been placed in the library which has some 20 m of shelf space. We now to secure a volunteer who can project manage the Library Project. A Terms of Reference for the project will be worked up with the volunteer however we anticipate the tasks to involve an initial review and development of a plan of action; culling duplicate resources, devising a catalogue for the library, undertaking the process of re-shelving remaining resources and developing a process to manage the operation of the library to the benefit of all staff in Victoria. Mission Australia will provide support staff to complete the project under the guidance of the Library Project Coordinator. The Project will be supported by the State Leadership Team The Library Project will add value to Mission Australia’s work through enhancing access to existing resources that underpin our service delivery and creating a format for future resources to be shared with staff in an environmentally sustainable manner by providing for a central repository that will enable all staff to access one print copy of any resource. The Project timelines are indicative only and can be negotiated to suit the needs of the volunteer. The volunteer will need skills and experience in project management and archiving or cataloguing. The volunteer will need skills in coaching staff. It is expected for this project to take up to one month (up to two full days, then one hour a week for four weeks), and we are willing to be flexible within business hours. The work will be to localize the written content so as to ensure they meet the Victorian sector best practice service standards and all relevant State legislation. The objective of the project is to establish local specific documentation that can be rolled out to all community services locations in Victoria. A Terms of Reference for the project will be developed with volunteer by the CS Operations Manager and the Strategy and Development Manager. Once established the project will require independent initial research, document collection, literature review and procedure development of new and reworking of existing documentation. The tasks will be prioritizing based on the critical requirements of current services operational needs. Mission Australia will provide support from local and national staff and service managers to complete the project. The project will add significant value, reduce risk and improve risk management practices in relation to Mission Australia’s work with disadvantaged people in Victoria. This will be achieved by enhancing access to well researched and developed localised operating procedures that resource frontline staff in their day to day duties and operations.
